POSITION: Coordinator - Communications, Sponsorship & Events
REPORTS TO: Executive Director
SUPERVISES: N/A
POSITION TYPE: Maternity Leave Contract (14 Months – June 2024 – August 2025)

PURPOSE: The Coordinator - Communication, Sponsorship & Events will play a lead role in the promotion and communication of all activities and events surrounding Hockey Calgary.  The successful candidate will be tasked with the organization and promotion of all Hockey Calgary events, as well as supporting the Executive Director in securing sponsorship dollars. In this role the candidate must inspire a positive image of Hockey Calgary with sponsors, partners, volunteers and member organizations for the betterment of the game.

KEY RESPONSIBILITIES

Communications

  • Coordinate the content, design and publish the bi-monthly Press Box Newsletter
  • Oversee the overall appearance and navigation of the Hockey Calgary website
  • Coordinate the content, design and publish FMAs and rotating ads on the website
  • Update Hockey Calgary website with news stories promoting sponsors, partners and players
  • Post member organization messages as required on appropriate platforms
  • Manage all Hockey Calgary social media platforms (X, Instagram, Facebook)
  • Organize press conferences and send press releases

Sponsorship

  • Maintain current sponsors and build relationships throughout the year
  • With the Executive Director, develop sponsorship packages and contracts for new and existing sponsors
  • Ensure all sponsorship obligations are fulfilled by all parties
  • Create a post event summary package for title sponsors
  • Work with sponsors leading up to, during and after events
  • Communicate with new and interested sponsors
  • Manage the use of the Hockey Calgary, sponsor and partner logos effectively

Community Relations

  • Maintain and build relationships with minor, amateur and professional hockey organizations
  • Work with partners to advertise special games and events on our website and through member organizations
  • Support and promote member organization events and programs
  • Find new ways to utilize partnerships to benefit both parties
  • Search for inspiring stories for sharing on all Hockey Calgary platforms

Events

  • Promote and organize all Hockey Calgary events including:
    • U13AA Thanksgiving Classic
    • Esso Minor Hockey Week
    • Timbits Jamboree
    • Adrenalin City Championships
    • Hockey Calgary Volunteer Celebration
    • Hockey Calgary Golf Tournament
  • Ensure proper signage is in place for all Hockey Calgary events
  • Work with venues, caterers, and sponsors to ensure events are a success
  • Promote events through all Hockey Calgary platforms
  • Promote Hockey Calgary, sponsors and partners in a positive manner at all times
  • Support additional Hockey Calgary programs through social promotion and signage creation including: Timbits Learn to Play, First Shift, Jr Flames)
  • Recruit volunteers to assist with major events
  • Communicate with all teams about event details
  • Manage all facets of mascot (Deke) outings at special events
  • Build library of photos and video of all Hockey Calgary events
  • Order promotional items and clothing relating to specific events
  • Find players for partner events as requested (Hitmen, Flames and promotional opportunities)
  • Order and maintain promotional items to be used as giveaways at major events

Operations

  • Manage and monitor assigned budget areas on a monthly basis
  • Maintain and organize on and off-site storage areas

­­­­­­­­­ Volunteer Management

  • Maintain volunteer recognition inventory
  • Prepare Hockey Calgary identification for staff and key volunteers
  • Schedule team building events for key volunteers

Miscellaneous

  • Any other duties as requested by the Executive Director.
  • Attendance at the Hockey Calgary AGM in September.
  • Maintain groups and contacts on the Hockey Calgary Rolodex as they relate to areas of responsibility (ie: Media, Sponsors)

QUALIFICATIONS

  • Excellent written, verbal and electronic communication skills
  • Adept with social media platforms
  • Outgoing, organized and enthusiastic
  • Must work well in a team environment  
  • Willingness to work flexible hours, including evenings and weekends
  • General knowledge of the Hockey Calgary structure
  • Proficient with MS Office 365 (outlook, excel, word) and Adobe Illustrator and Photoshop
  • Valid Class 5 Drivers License
